What we collect
- Enquiries: your name, work email, company, phone number, message, and for quote requests the plan and team size you choose, when you use a form on this website, email or call us. We also record the page you sent the form from and the time you gave consent.
- Campaign source: only if you accept analytics cookies, the campaign tags or website that first brought you to us, attached to any enquiry you send.
- Client and supplier contacts: business contact details and correspondence needed to deliver or receive services.
- Website use: only if you accept analytics cookies, information about how you use the site (pages visited, device and browser type, approximate location and how you arrived). See our cookie policy.
How and why we use it
- To reply to your enquiry and arrange any consultation or quote you ask for. Lawful basis: your consent (given on the form) and steps taken at your request before entering into a contract.
- To deliver services and manage our relationship with clients and suppliers. Lawful basis: contract, and our legitimate interest in running our business.
- To send occasional relevant updates to business contacts. Lawful basis: legitimate interest or consent, as the law requires. Every message lets you unsubscribe.
- To understand and improve how the website is used, and which marketing works. Lawful basis: your consent, given through the cookie banner.
- To keep the website secure, for example by limiting repeated form submissions and failed logins. Lawful basis: our legitimate interest in protecting the site. We store a one-way scrambled (hashed) form of your IP address for up to one hour for this, not the address itself.
- To meet legal, tax and accounting obligations. Lawful basis: legal obligation.
We do not sell your personal information, and we do not use it for automated decisions that have legal or similarly significant effects on you.
Who we share it with
We share personal information only with service providers who process it on our behalf under contract:
- our website host, where enquiries are stored in the website’s database;
- our email provider, which delivers enquiry notifications to our team;
- Salesforce, including Marketing Cloud Account Engagement (Pardot), our CRM and marketing automation platform;
- Google Analytics, only where you have accepted analytics cookies.
We may also disclose information where the law requires it.
International transfers
Our team includes colleagues in our Karachi, Pakistan office, who may access personal information to deliver our services. Some of our service providers may also process data outside the UK. Where personal information is transferred outside the UK to a country without UK adequacy regulations, we use safeguards approved under UK law: the UK International Data Transfer Agreement (IDTA) or the UK Addendum to the EU Standard Contractual Clauses. You can ask us for a copy of the relevant safeguards.
How long we keep it
We keep enquiries that do not lead to work for up to 2 years, client records for up to 7 years after our last engagement (for legal and accounting reasons), and analytics data for 14 months. We then delete or anonymise it.
Your rights
You have the right to access your personal information, and to ask us to correct, delete or restrict it, to object to our use of it, to move it to another provider, and to withdraw consent at any time (this does not affect anything done before you withdrew it). To use any of these rights, email info@seamlessideas.co.uk. We will reply within one month.
